Track every lease expiration, and the notice date before it.
Write down two dates for every lease: the day it ends, and the last day the lease lets anyone give notice about it. Then order your leases by the second date, not the first, because that is the date you can miss. The notice date is almost never printed in the lease. It says “at least ninety days before the end of the term”, so it has to be worked out from the end date and the clause. Prism reads each lease, works the dates out in code and shows the sentence each one came from, so you can check it against the lease.
Worked example: four leases in one building
Four leases with four different notice rules. The end date and the rule are in each lease; the last day to give notice is what has to be worked out. The rows are in the order you should act, by the last column.

- Unit 2A: Sep 30 less 90 days is Jul 2. Check by counting forward: 29 days left in July, 31 in August and 30 in September make 90.
- Unit 1A: Aug 31 less 30 days is Aug 1.
- Office: Dec 31 less 90 days is Oct 2. Check: 29 days left in October, 30 in November and 31 in December make 90.
- Shop: 6 months before Jun 30, 2028 is Dec 30, 2027, and 12 months before is Jun 30, 2027. Months are counted on the calendar, not as 30 days each.
By lease end, 1A comes before 2A. By notice date, 2A comes first: its lease ends 30 days after 1A's but its notice date is 30 days before. Two of the four dates land on a weekend (Aug 1, 2027 is a Sunday and Oct 2, 2027 a Saturday). Prism returns the date the arithmetic gives and does not move it, so read whether your lease rolls a weekend deadline to the next business day.
The lease and its clauses were written for this page, not taken from a customer’s lease. The dates are worked out by hand and checked against the same date arithmetic Prism uses.
Then put them on one calendar
Send each lease. For every lease you have paid to read, Prism emails you 90, 30 and 7 days before each dated deadline, and the Deadlines page and the calendar show every deadline across all of your leases, soonest first. Name each file after its unit, because the file name is what the list and the reminder emails show.
Which dates to record for each lease
The expiration date
Stated in the lease, or worked out from the commencement date and the term. A date the lease calls an estimate and then supersedes is not used.
The notice date before it
The last day either side can give notice that the lease will not continue, counted back from the end of the term.
Renewal and extension options
Both ends of the window: the first day the tenant may give notice and the last.
Automatic renewal and month-to-month
Whether the lease rolls on by itself unless notice is given, how long each renewal is, and what the lease says applies if the tenant stays after the term ends.
Break and early termination rights
Who holds the right, the notice it needs and the last day to give it, whether the right is the tenant’s or yours.
Amendments that move the date
An extension or amendment is read together with the lease, so the end date and the notice windows are the ones now in force.
Deadlines that run from an event
A period counted from a request or a notice, such as "sixty days after a request", is returned with its rule and left undated until you have the date the count starts from.
What it will not do
Prism reads the leases you send. It does not know a tenant has moved out or agreed a new date unless you send the paper, does not group leases by building or unit, and does not track rent, arrears or tenant details. It does not move a date for a weekend or a holiday, and it does not count a period stated in business days (that is returned with its rule and left for you to date). It is not legal advice, and reminders are best-effort.

Questions
What is the difference between the lease end date and the notice date?
The end date is when the term stops. The notice date is the last day the lease lets anyone give notice about it, and it comes first. In the example, the lease for Unit 2A ends on Sep 30, 2027 but its notice date is Jul 2, 2027, 90 days earlier.
Which lease should I look at first?
The one with the earliest notice date, not the earliest end date. In the example, 2A ends a month after 1A but its notice date comes a month before. The Deadlines page and the calendar list every deadline across all of your leases, soonest first.
What does it cost to add every lease?
On the website it is $1 per contract, or $9 a month for up to 50, and you see a preview of a lease before you pay. Loading more than 9 leases in a single month costs less on the monthly plan.
Does Prism group leases by building or unit?
No. It lists each lease by file name and has no property, unit or tenant fields, so name each file after its unit, for example "2A lease.pdf". The file name is also in the subject of every reminder email.
What if all I have is a scan or a phone photo?
The upload takes PDF, PNG, JPEG, WebP and HEIC files up to 25MB. A long scan takes longer to read than a typed PDF.
What happens when a tenant renews or a lease is amended?
Add the amendment or extension from the lease, or send it with amendsContractId from an agent. It is read together with the lease, and once it is read and paid for its dates replace the lease’s in your list and reminders.
How do I know a date is right?
Every date comes with the sentence it was worked from, so check the ones that matter against the lease. Prism misses some dates, and a period the lease never states is left empty rather than guessed. The measured results, on synthetic contracts, are on the accuracy page.
Is this legal advice?
No. It tells you what each lease says and where. Some places also have rules about notice that apply whatever the lease says; this guide does not cover them. For a decision that matters, read the clause and ask a lawyer.
